Create a reservation

Add a manual reservation in the Tebi App during service or in the Back Office for advance bookings.

Manual reservations are useful when a guest books by phone, walks up to ask, or you're transferring a booking from another system. The Tebi App is fastest during service; the Back Office gives you more fields and the option to send a confirmation email.

Before you start: Reservations setup must be complete. See Set up Services & Schedules for availability if you haven't yet.

In the Tebi App

Using the + button

  1. Tap Reservations › + (bottom right).

  2. Enter:

    • Guest name and phone number (or email).

    • Group size.

    • Date and time.

  3. Choose auto-assign to let Tebi pick the best table, or tap Assign table to choose yourself.

  4. Optional: add notes for the floor or kitchen (e.g. allergies, anniversary).

  5. Tap Save.

The guest receives a confirmation email automatically if you entered their email.

From the timeline

  1. Tap the time and table on the timeline to create a draft reservation.

  2. Tap the draft again to start filling in the reservation details.

  3. If you don't want to proceed with the draft, tap off the draft to dismiss it.

  4. Alternatively, use the + button described above.

"No availability" pop-up

If you see "It seems like there's no availability at this time. Would you like to continue anyway?" — it means there are currently no available tables according to the availability and capacity settings in the Back Office.

Common causes:

  • Capacity settings — check the minimum and maximum group sizes for the tables. Back Office › Settings › Floor Plan.

  • Availability schedules — make sure schedules are correctly configured. Back Office › Reservations › Availability.

  • Pacing and day limits — check if pacing or day limits are restricting availability. Back Office › Reservations › Pacing.

Note: You can always override the warning and save the reservation. It's a good idea to review the settings afterwards to make sure everything's set up the way you want.

In the Back Office

  1. In the Agenda, click Add new.

  2. Select Group size, Date, Time, Service, and Duration.

  3. If the service has a prepayment enabled, a prepayment toggle appears. Turn it on to require a prepayment — otherwise the booking is confirmed without one.

    • Choose how long the guest has to confirm by paying. While the option is pending, the selected tables are not available to other guests.

    • If the prepayment isn't paid in time, the reservation is automatically cancelled and the tables become available again.

  4. Fill in the guest details. Phone number fields include a country-code picker for international numbers.

  5. Click Save.

"No availability" pop-up

If you see "It seems like there's no availability at this time. Would you like to continue anyway?", there are no available tables based on your current settings. Common causes:

  • Capacity settings — minimum or maximum group sizes for the relevant tables (check Settings › Floor Plan).

  • Availability schedules — the service's schedule may not cover this time (check Reservations › Availability).

  • Pacing or day limits — limits may be restricting availability (check Reservations › Pacing).

Note: As an owner, you have full control and can override the system in any aspect — including seating in ways that would otherwise be an overbooking. To diagnose exactly why a slot isn't available, use the Troubleshoot reservation availability tool. See also Why isn't a slot showing up?

Note: Tentative reservations (options) send a different email to the guest — they need to confirm before the booking is final. See What emails do guests receive?
