Keep your inventory accurate

Add deliveries, remove waste, count your stock and check what changed.

Your inventory is only useful if the numbers are right. This article shows you how to add deliveries, remove waste, count your stock and check what changed. Watch the video for the full walkthrough, or follow the steps below.

Where you can adjust stock

  • You can adjust stock for any product you track inventory for in three places.

  • The product’s page, in the Back Office or on the POS. Go to Products, select the product, scroll down to the Inventory section and select Adjust inventory.

  • The inventory overview, on the POS. Go to the products page, select the three dots in the top right corner, select Inventory and choose the product.

  • The sales screen, on the POS. Open a new sale, long press the product and select Adjust inventory.

Adjust stock for one product

  • Open Adjust inventory from one of the three places above.

  • Under Adjustment type, choose the type of update that matches what happened, so your history shows why the stock changed.

  • Select Add when a delivery arrives, and enter the quantity in Add quantity.

  • Select Remove when stock is wasted, and enter the quantity in Remove quantity. Tebi shows the variance and its value.

  • Select Count when you do a stocktake and want to replace the current number, and enter what you counted in Counted amount.

  • Check the New inventory level, then select Save.

Add a delivery for several products

  • In the Back Office, go to Products > Inventory.

  • Select Add, then Add purchases manually.

  • Search for a product, or select the filter to add products by tag or reporting category.

  • For each product, enter the stock in To be added and the new Purchase price per item. The New level column shows the result.

  • Select Update inventory. To keep a record, turn on Download a copy for your records.

  • Select Update inventory again to confirm.

  • To add a product that doesn’t track inventory yet, select Add product. Tebi starts tracking inventory for it.

Add purchases with a spreadsheet

  • If you’d rather work in Excel or Google Sheets, you can add the stock there and upload it. Tebi shows a preview before anything changes.

  • In the Back Office, go to Products > Inventory.

  • Select Add, then Download purchase sheet.

  • Open the file and add the new stock and the new purchase prices. Save it as an .xlsx file.

  • Select Add, then Upload purchase sheet, and choose your file.

  • Check the preview of the new stock and prices.

  • Select Update inventory to save the changes.

Do a full or partial stock count

You set up a count in the Back Office and do the counting on the POS. Count all your tracked products, or just part of your stock, like the bar.

Set up the count

  • In the Back Office, go to Products > Inventory.

  • Select Count, then Create count.

  • Give the count a name, for example “Monthly stocktake”.

  • Choose All products for a full count, or Selection for a partial count. For a partial count, select the products, or filter by tag or reporting category.

  • Select Create count.

Count your stock on the POS

  • Open the count and enter what you count for each product.

  • When you’ve finished, select Review. You can still change a product’s count here.

  • Select Finish count.

  • You can follow a count in the Back Office under Products > Inventory > Counts. At the top, you see how far along the count is. For each product, the table shows the expected and counted stock, the variance, and what the variance is worth based on your last purchase price.

Count with a spreadsheet

  • Select Count, then Download count sheet.

  • Enter your counts in the New Count column and save the file as an .xlsx file.

  • Select Count, then Upload count sheet, and check the preview.

  • Save the count.

  • If you leave a product empty, Tebi keeps its expected count. If you enter zero, its stock becomes zero. Only products with a new number are updated.

You can have one full count open at a time, and several partial counts. Try not to add the same product to more than one partial count, and avoid selling while you count, so the numbers stay accurate.

Check what changed

  • The adjustment history shows every change to a product’s stock and why it happened.

  • In the Back Office, go to Products > Inventory and select the product.

  • In the Inventory section, select the history icon.

  • You see every sale, delivery, removal and count, with the time and who made it.

  • To narrow it down, choose a time period or select All types to filter by type.

See your stock at a glance

  • The inventory overview shows the current stock and value of every tracked product, so you can spot low stock before it affects service. In the Back Office, go to Products > Inventory.

  • The Estimated inventory value is your current stock multiplied by the last purchase price of each product.

  • Keep your counts up to date, and Tebi keeps your stock, sales and costs in line.
