All of these settings live on one page: Back Office > Reservations > Settings > Communication.
Confirmation emails to guests
When a guest makes a reservation, Tebi automatically sends them a confirmation email with the reservation details. You can customise two things on this email:
Add custom Google Maps link
Turn on Add custom Google Maps link to add your own Google Maps link to confirmation emails. If left off, Tebi creates a Maps link automatically based on your address.
Include custom message
Turn on Include custom message to add a custom note to confirmation emails. Use it for things like accessibility info, accepted payment methods, or a simple thank-you.
Customer reminders
Tebi automatically sends a reminder email to guests before their reservation. You can customise when that reminder is sent — or turn it off entirely.
Setting the reminder time window
Go to Back Office > Reservations > Settings > Communication.
Find the Customer Reminders section.
Choose how far in advance to send the reminder (e.g. 24 hours or 48 hours before the reservation).
Save your changes.
Disabling reminder emails
If you prefer not to send reminders:
Open the Customer Reminders section as above.
Toggle off the reminder email setting.
Save your changes. Guests will no longer receive a reminder.
Note: Changes to the reminder setting apply to future reservations. Reminders for reservations that have already been scheduled may not be affected.
Recommended timings
For dinner or weekend services, a 24-hour reminder gives guests time to rearrange if needed.
If you use prepayments, reminder emails also help reduce no-shows by keeping the reservation top of mind.
Reconfirmation emails
You can turn the reminder into a reconfirmation request. Instead of a standard reminder, guests receive an email with a Reconfirm button. When they click it, the reservation is marked confirmed in your Tebi agenda — making it easy to spot and follow up on potential no-shows ahead of service.
Only reservations within the configured reminder window receive a reconfirmation email.
To enable: go to Back Office > Reservations > Settings > Communication and turn on Reconfirmation emails.
Email notifications (to you)
Stay on top of reservation activity with automatic email notifications. These are sent to the email address registered on your Tebi account.
For each event, choose how often you want to be emailed:
None — no emails for this event.
Same day — only when the change affects a reservation happening today (available for updates and cancellations).
All — an email every time the event happens.
Available notifications:
New reservation — email when a new reservation is made.
Reservation updated — email when a reservation is modified.
Reservation cancelled — email when a reservation is cancelled.
New message — email when a guest sends you a message.
New review — email when a guest leaves a review.
Note: Reservation notifications are always sent to the email address configured under Place details in the Back Office - not to individual user accounts. If you'd like these notifications to go to a different address, update the email address under Place details.
To configure email notifications
Go to Back Office > Reservations > Settings > Communication.
Scroll to Email notifications.
For each event, select None, Same day (where available), or All.
