Notify guests when their order is ready

Send guests an email or SMS as soon as their order is ready.

What are ready notifications?

When a guest's order is ready, Tebi can send them an email or SMS. Guests choose how they want to be notified on the order summary page. Read more about the order summary page in Setting up Track & Pickup.

Before you start

Prepare your products on a digital prep station. A notification is sent when the prep station moves the order to Ready to serve or Completed, whichever comes first. Printer prep stations never send a notification. Read here how to add a prep station.

Turn on notifications

  1. In the Back Office, go to QR & Takeaway > Track & Pickup.

  2. Under Ready notifications, switch on the channels you want to offer:

    • Email: guests who enter their email address at checkout are signed up automatically. Other guests can add their email address on the order summary page.

    • SMS: guests can enter their phone number on the order summary page. You are charged €0.10 per SMS sent. SMS is not available in every country. If you don't see it, it's not available for your venue yet.

  3. Under Notify guests, choose how often guests are notified. See below.

  4. Select Save.

  • Once per pickup location: guests get a message for each pickup location as soon as everything there is ready. If guests don't pick up their own order, this option is called Once per prep station: each prep station counts as its own location.

  • Once per order: guests get one message when their whole order is ready.

Example: a guest orders a beer from the Bar and a burger from the Kitchen.

  • With Once per pickup location, they get one message when the beer is ready and another when the burger is ready.

  • With Once per order, they get one message when both are ready.

With payment after service, each new order the guest places is notified on its own.

What the message says

  • If guests pick up their own order: "Your order (#042) is ready for pickup at Bar."

  • If they don't: "Your order (#042) is on its way!"

The ticket number is only included if you use ticket numbers. Read more about pickup in Set up pickup locations.

Email: the email comes from your venue name with the subject "Your order is ready at [venue name]". It greets the guest by first name and lists the products that are ready. With Once per pickup location, it also says the guest gets an email for each part of the order as it becomes ready.

SMS: the message starts with your venue name, for example "Café Tebi: your order (#042) is ready for pickup at Bar."

Messages are sent in the guest's language. For email, if you don't offer that language to guests, Tebi uses your venue's default language.

What your guests see

On the order summary page, guests find a Notifications section with a switch for each channel.

  • When a guest is signed up, they see "We'll message" followed by their email or phone number, partly hidden. They can tap it to change it.

  • If the guest entered their phone number at checkout, they can switch on SMS with one tap. Otherwise they type their email address or phone number and select Add.

  • To stop notifications, guests switch the channel off.

Note: a guest who signs up after their order is already ready doesn't get a message for it.
