Why don't my Order Amount and Gross Revenue match?

If you've noticed these two numbers don't line up on your dashboard, that's normal — they're not supposed to always match. Here's why.

The short version

Order Amount counts things based on when they were ordered.
Gross Revenue counts things based on when the sale was paid and closed.

A single tab can span both: someone might order food at 9pm and not pay until 11pm, or even the next morning. So depending on the moment you're looking, these two numbers will often tell slightly different stories about the same sales — and that's expected, not an error.

The most common reasons they don't match

1. A tab was opened before today and closed today
If a customer opened a tab last night and it was only closed and paid today, today's Gross Revenue includes that entire sale — but today's Order Amount only includes what was actually ordered today. So Revenue can look higher than Orders.

Example: A tab opens Friday evening and gets paid Saturday morning. Saturday's revenue includes the whole tab. Saturday's orders only include what was rung in on Saturday.

2. Items were ordered today, but the tab is still open
This is the opposite case. If a table orders food today but hasn't paid and closed out yet, Order Amount already reflects those items — but Gross Revenue won't count them until the tab actually closes. So Orders can look higher than Revenue. This is completely normal during the day and usually evens out once tabs close.

3. Refunds
Refunds reduce your Gross Revenue, but they don't reduce your Order Amount. So if you've issued refunds, you'll see Revenue drop relative to Orders — that's the refund being reflected correctly.

4. Looking at Open Order Amount for a past date
Open Order Amount always shows what's open right now, not what was open on a specific past date. If you select a past date range and compare it to Open Order Amount, invoices that have since been closed won't show up there anymore, even if they were open during that period.

5. Discounts applied after the order was placed
If a discount gets added to a sale later (for example, at the time of closing the tab), it can affect Order Amount and Gross Revenue differently, since each metric "locks in" at a different moment.

6. Unpaid orders that expired
For orders placed through certain channels (like QR code ordering), if a customer never completes payment, the order can expire and reverse automatically. This shows up as your Order Amount going down after the fact — it isn't a mistake, it reflects money that was ordered but never actually collected.

Will these numbers ever match?

Yes. Once every tab that was open during a period has been closed and paid — with no refunds involved — Order Amount and Gross Revenue for that period will line up. This usually happens naturally as the day rolls into the next. If you're looking at "today so far," some difference between the two is expected and will narrow as tabs close out.

Quick summary

If you see...

It usually means...

Revenue higher than Orders

Some of today's revenue came from tabs opened earlier

Orders higher than Revenue

Some of today's orders are still on open, unpaid tabs

Revenue lower than expected

Refunds have been processed

Open Order Amount looks off for a past date

It only reflects what's open right now, not what was open then
