How to match your payouts to your sales

This article explains how to check if your Adyen payouts match your sales in Tebi, and what to do when the amounts don't add up.

Note: Before reading this article, make sure you understand how your payout delay and frequency work. See Sales day payout for details.

How sales days work in Tebi

A sales day in Tebi runs from 06:00 to 06:00. For example, a transaction at 01:00 on March 16 still counts as March 15's sales. Anything processed after 06:00 on March 16 belongs to the 16th. Keep this in mind when matching sales to payouts.

Why your payouts don't match your monthly sales

Because of the payout delay, the sales from the last days of a month are included in next month's payouts. This means your total payouts in March will not match your total sales in March.

To reconcile correctly, you need to match the right sales dates to the right payout dates.


Step 1: Find the matching dates

Count back from the first payout date of your period by your payout delay to find the first matching sales date. Do the same for the last payout date.

Example (T+2, reconciling March): The first payout of March (March 3) contains sales from March 1. The last payout of March (March 31) contains sales from March 27. Sales from March 28–31 are paid out in April.

So you compare: sales from March 1–27 with payouts from March 3–31.

Tip: Use the payout tables in Sales day payout to map your sales days to payout days. Remember to account for weekends and bank holidays.

Step 2: Find your sales total in Tebi

  1. In the Back Office, go to Insights > Report List > Day Report.

  2. Enter the matching sales dates from Step 1.

  3. Note down the sales total and tips total. Tips are included in card payments and are part of your payout.

If a specific day looks off, open the Day Overview in the Tebi app. The "Total Adyen" card shows the card payment total for that day, so you can compare it directly to the batch in Adyen.

Note: If you use e-commerce payments, include those as well.

Step 3: Find your payout total in Adyen

  1. Go to Adyen Essentials and log in.

  2. Under Finance, choose Sales to payouts. The dashboard has two tabs: Sales and Payouts.

  3. In the Sales tab, you can see each payable batch, its status, and the date it was paid out. Use this to confirm you are looking at the right period.

  4. Open the Payouts tab.

  5. Look up the payouts for the matching period.

  6. Note down the total payout amount and total transaction costs.

Step 4: Compare the amounts

Subtract the transaction costs from your Tebi total. This should match your Adyen payout.

Your payout consists of the following formula:


Sales (including tips) - refunds - costs of transaction - adjustments = payout

Example: Tebi total is € 3,700.00 (sales + tips). ReTransaction costs are € 55.00. € 3,700.00 − € 55.00 = € 3,645.00. If your Adyen payout is also € 3,645.00, everything matches.


When there is still a difference

If the amounts don't match after subtracting transaction costs, the most common causes are:

Card discrepancies — Payments registered in Tebi that were never completed on the payment terminal. This happens with manual payments, where the sale is closed in Tebi but the card payment was not processed. You can find card discrepancies in the Day Report for the relevant period.

Prepayments — Reservation prepayments are paid out by Adyen when the customer pays, but they are counted as sales revenue at a later moment (when the reservation takes place). This means a prepayment can appear in a payout for a different period than the sales day it is counted on in Tebi.

Refunds and chargebacks — These are deducted from your payouts as they occur, not on the date of the original sale. Check the Sales tab in Sales to payouts for any refunds or chargebacks in the payout period.

Other adjustments — These include deposit corrections, invoice deductions, and balance transfers. If you purchased hardware (from Adyen), the purchase price is also deducted from your payout. Expand the payout details in Adyen to see the full breakdown.

Recommendation: Use integrated payments (sending the payment from the app to the terminal) instead of manual payments. This prevents card discrepancies between Tebi and Adyen.
