How to close a sale on an invoice and view them

When you close a sale as an invoice, this does not automatically send the invoice. You have to send it manually when you're ready. Only send invoices after you have reviewed them.

How to close a sale as an invoice

  1. In the Tebi App > Sales, open and create a sale with various products

  2. Press the Pay button to go to the payment method screen

  3. At the top, select Invoice as payment method

  4. Select a customer or add a new customer by tapping the Customer field

  5. Select whether you want to charge the sale to a new invoice or add this sale to an existing invoice

  6. Select whether you want to issue invoice now or defer sending invoice

    • Issuing now will make the invoice uneditable and request payment from the customer immediately

    • Deferring sending the invoice will save the invoice so you can make changes and send it to the customer later

  7. Optional: add a note for the customer shown on this invoice

  8. Tap the green Invoice button

  9. The sale will be closed in the Sales List and will be visible in Invoicing

Tip: Invoices don't have a cut off. That means you can keep adding to them even after the end of a month or after you've sent a payment reminder.


Sales with a reservation prepayment

If a guest has paid a reservation prepayment, the prepayment amount is automatically deducted from the sale total in the POS. When you close this sale on an invoice, the prepayment is shown as a separate line on the invoice PDF (for example, "Reservation Prepayment −€50.00"), and the Amount due reflects the remaining balance. You do not need to do anything manually — this is handled automatically.


Adding items that are not on the POS grid

If you need to invoice for something that is not a regular menu item — for example, a location rental fee, catering surcharge, or event deposit — you can use a product with Prompt price enabled. This lets you manually enter the price each time you add the product to a sale.

To set this up, create a product in the Back Office or App (for example, named "Custom charge" or "Location rental"), and turn on the Prompt price toggle. When you add this product to a sale, you will be asked to enter the amount. The sale can then be closed on an invoice like any other sale.


Viewing invoices in the App

Go to the Tebi App > Menu and under Management, select Invoices.

Search or scroll through the list:

  • Status Open — invoices have not been sent to the customer

  • Status Sent — invoices have been sent but payment is outstanding

  • Status Overdue — invoices have been sent but payment is outstanding and overdue

Tap an invoice to view the invoice details and the specification of the sale, including products ordered.
