Set up Tebi for your cafe

This guide walks you through setting up Tebi specifically for cafe service.


Before you start: Complete the onboarding steps first:

  • Create a Tebi account for your cafe.

  • Set up Tebi Payments so you can process card payments.

  • Order your terminal and other hardware.


Sign in to Tebi

Sign in to the Back Office, the Tebi App, and on your terminals.


Set up your prep station

Add a prep station in the Back Office under Settings > Prep Stations. A prep station is any place where products are prepared — a coffee bar, a kitchen, a pastry counter.

  • Set up a digital prep station (screen-based) or configure a printer to print prep order tickets.

  • Assign the prep station to each product when you create it.


Create your product list

Create your product list in the Back Office manually or by importing a file. Start with your signature coffee.

  • Use tags to organise products into groups on the Sale Screen — for example, 'Coffees', 'Sodas', or 'Pastries'. A product can have multiple tags.

  • Add reporting categories to track sales by category in the Dashboard. A product can only have one reporting category.


Add modifiers to your coffees

Add modifiers to customise orders — milk types, ice options, packaging choices for takeaway. Modifier groups are set up in the Back Office.

Example: For cappuccinos with a choice of milk, create separate products for each milk type (oat, soy, cow), then create a modifier group 'Milk' and assign it to all coffee products.

For note modifiers (no extra cost), such as iced coffee: create a note modifier 'Iced' and apply it to the 'Coffees' tag group.


Add products to the sales screen

Set up your Sale Screen so staff can quickly select products during service. Customise tabs (for example, 'Drinks' and 'Food'), group products by tag, and assign colours.


Go through the Tebi App settings

Many cafes use counter sales mode — payment is taken immediately when the customer orders. The next sale opens automatically.

If you serve multiple customers at the same time without direct payment, use service sales instead.

Go through the rest of the settings to configure receipts, prep station printing, and payment preferences.


Add users

Give your team access to the Tebi App and assign user roles to control what each person can do. You can add new users through the Back Office or the Tebi App. See user roles and permissions for a full breakdown.


Payment methods

  • Set card as your QuickPay method to speed up payment at the counter.

  • Enable QR payments as a backup if your terminal is offline or a customer has forgotten their wallet.

  • Enable Tap to Pay on iPhone if your terminal is unavailable. Additional transaction costs apply.

  • Enable cash if you accept it.

  • Create customer accounts for regulars or business partners who pay on invoice.


Set up the terminal display

Enable tipping in the Back Office under Settings > Terminals. You can add up to four tipping options as a percentage or fixed amount.

You can also personalise the customer-facing display with your branding, and lock the screen when a terminal is within reach of guests.
