How to build your menu in Recipe Management

In this article you can learn how to setup your menu to ensure that costs are calculated correctly.

1. Drinks that you purchase and sell directly e.g. A can of Cola


  1. Upload your invoice via the Back Office or App.

  2. When the item details are extracted, select ‘Link to existing item’ and search for the product to connect the item to.

  3. Click ‘View’ to review the details and ensure that the information has been populated correctly.

  4. Approve the invoice once all items are correct.

  5. To find the ingredient again, in the Back Office, go to Products > Recipes > Ingredients. Here you can edit the ingredient in the future.

  6. See the costs of the product updated by going to the product and seeing the purchase price updated.

2. Drinks that you are selling with different volumes e.g. A bottle vs a glass of wine


Setup the bottle first

  1. Upload the invoice in the Back Office or App.

  2. When the item details are extracted, select ‘Link to existing item’ and search for the product to connect to the bottle to. In this case, the bottle linked automatically.

  3. View the item, check that all data has been extracted correctly.

  4. Approve the invoice once all items are correct.

  5. Go to the product to double check that the price per bottle is correct

Setup the glass next

  1. The glass is already setup as a product that I sell.

  2. Create a main recipe to setup the amount that you use from the bottle. Products > Recipes > Add new Main Recipe

  3. Add the bottle of wine as an ingredient. Add the correct volume that the recipe will use. E.g. 250ml.

  4. Link the recipe to the product that you sell.

  5. Save the recipe.

  6. The product will now have the cost for the glass of wine.

3. Selling a dish on your menu


  1. Add ingredients via uploading, reviewing and approving your invoices.

  2. Create a main recipe, to attach to the product that you are selling. Products > Recipes > New Recipe > Main Recipe.

  3. Add the ingredients and sub recipes to build your recipe.

  4. Link to the product that you are selling or create a new one by selecting ‘Link recipe to product’.

  5. Save the recipe.

  6. Now, as new invoices are uploaded into the system, the cost of the recipe will be kept up to date.

4. Creating a Sub Recipe which can be used in many recipes


  1. Sub recipes can be used in multiple recipes. E.g. you have a recipe for vegetable broth that is used in a base in multiple soups.

  2. To create a sub recipe go to Products > Recipes > New Recipe > Sub Recipe.

  3. Add the production quantity for the amount that you are going to make. This unit can be an item (e.g. 10 burgers) or in liters or grams.

  4. Add the ingredients to the recipe or a Sub Recipe.

  5. Save the recipe.

  6. The Sub Recipe can now be used as an ingredient within another recipe. Start typing the name of the ingredient to find the recipe.

5. Using a product that you sell in another dish e.g. selling bread and using bread as an ingredient in a sandwich


  1. Create the Loaf of Bread as a sub recipe. See how to do this above.

  2. Set the production amount as the number of items the recipe produces. E.g. If the bread creates 12 slices, select 12 portions.

  3. Setting up the loaf of bread that you sell

    1. Create a Main Recipe

    2. Add the loaf of bread Sub Recipe as an ingredient. Ensure that the amount used is 12 items (the full loaf)

    3. Link the Main Recipe to the product that you are selling.

    4. Save the recipe.

  4. Setting up the sandwich that you sell

    1. Create a Main Recipe for the sandwich that you sell.

    2. Add the ingredients as usual.

    3. Add the loaf of bread Sub Recipe as an ingredient. Ensure that the amount used is the correct volume. E.g. 2 items = 2 slices.

    4. Link the Main Recipe to the product that you are selling.

    5. Save the recipe.

6. How portions work


  1. The Main Recipe reflects the product that you sell. The cost is calculated per portion and this is connected to the sales price of the product that you sell to calculate the margin.

    1. If you sell a full cake, this would be setup as one portion.

    2. If your sell a slice of a cake, the main recipe would be setup to reflect the number of portions the cake creates e.g. 12 slices = 12 portions. The cost would be calculated per portion.

7. How yield works


  1. Yield reflects the percentage of an ingredient that is used after prepping. You can add this to all ingredients and the cost of the ingredient will be based on the percentage used. E.g. You use 80% of a pineapple. You purchase a pineapple for €2.00. The cost for the whole pineapple used is €2.40.
