Changing your legal entity
Steps:
1. Go to Back Office > Account > Onboarding > Set up payments.
2. Update the company details to match your new legal entity exactly as registered with the Chamber of Commerce (KvK): legal name, entity type, KvK number, and VAT number if applicable.
3. Update the decision-makers as needed (owners, controlling persons, signatories). At least one of each category must be represented; one person can hold multiple roles. Each decision-maker needs a valid, non-expired ID/passport.
4. Complete bank verification again if prompted (upload a current bank statement, no older than 3 months).
5. Submit the updated information.
What happens next:
- Submitting this update automatically triggers a new verification (KYC check) of the changed details.
- Your payment processing continues uninterrupted while this check runs; Adyen's grace periods prevent any blocking during this transition.
- If verification fails, you'll see a message explaining the issue, for example: "The details of the legal entity could not be verified. The registered entity type is different." Review your submitted information, correct any mismatches with your KvK registration, or upload an incorporation document as additional proof, then resubmit.
Changing your Payout account
Steps:
1. Go to Back Office > Account > Onboarding > Set up payments (or the payout section, if separate).
2. Enter the new bank account details.
3. Upload proof of the new bank account (a bank statement or similar document). This document's account holder name must match your legal entity name or trading name exactly.
Important: If the new account is held under a different name than your registered legal entity (for example, a personal account instead of the business account), this verification will likely fail. Make sure the account you're switching to is held in the correct legal entity's name.
Note: It may take some time for the new bank account to be approved by Adyen. To avoid a delay in your payout, replace the bank account right after you received your payout.
